The “Gmail 69585 bounce” and what can I do about it?

What is it?

The name derives from the Google Support link at the bottom of the error message:

Also known as “the 69585 bounce,” users who send bulk mail may receive an automated response from Gmail. One user even reported getting the error after sending emails to his family. This proves all the more confusing as the 69585 link redirects to a Support Page that doesn’t offer much explanation.

Reading through online fora regarding the “69585 bounce,” it appears to boil down to filtering out suspicious emails. Emails are subject to security checks by Google’s mailing system. Google engineers have been hard at work in proactively screening for emails that may be malicious in nature, spammy, or conduits for phishing scams. Once an email sets off these triggers, Google would stop the email from its track and the sender would end up with the above message.

How do I resolve 69585 Gmail bounces?

Here are some pointers to consider and recommended solutions:

  1. Gmail is not intended for bulk/mass mail campaigns. Sending out a significant number of similar mails in a short span of time can be easily tagged as suspicious behavior. There are Gmail add-ons that work around this by sending emails across several days. Also, consider using apps and solutions specifically designed for bulk/mass emailing.
  2. Check your emails (both body and signature) for spammy contents. Although unintentional, your email may include phrases historically used by known spammers. As a general rule, avoid the following:
    • lots of exclamation marks
    • “Must read”
    • attention getting
    • large and/or gaudy colored text
    • text the same color as the background
    • tiny text
    • (almost) zero height images
    • links hidden under text
    • images or links with a different URL
  3. Recipients can easily mark your email as “Not Safe” or spam to avoid seeing your messages. Include clear instructions for recipients to mark your emails as Safe. This avoids being blacklisted and ending up with bounced messages.
  4. Google’s algorithms can be quite strict for new accounts. In fact, account tenure is a factor for email sending limits. Generally, G Suite accounts with at least 6 bill cycles with Google are considered tenured/seasoned and can enjoy sending up to 1,500 daily emails.

Managing Catering Requests with Form Workflow Plus

An assortment of snacks and refreshments never fail to liven up formal functions and seminars. Queuing up to the buffet table presents opportunities to mingle and exchange ideas or simply talk about the weather. Behind all these are the trusty caterers and event organizers. They attend to individual guest preferences and make sure the event proceeds smoothly.

If you’re a food concessionaire or managing a catering business, it’s important to fulfill client orders. Catering requests need to be properly tracked and scheduled. Consider Richard, who’s the manager of an in-house caterer for a tech firm. Teams regularly hold training and seminars so it was at first a challenge to track which team would require their services and when.

Fortunately, Richard came across Form Workflow Plus on the G Suite Marketplace. This allowed him to have an efficient system of collecting orders and scheduling. It’s easy to lose requests when done via email or on a separate form. Here are the important features that helped Richard:

Seamless integration with G Suite apps

Form Workflow Plus works with native G Suite apps. Richard simply set up a Google Form then collected these responses on a Google Sheet. With Form Workflow Plus, set up took only a few minutes.

The add-on also had the flexibility to specify several reviewers. This proved useful for when some of the reviewers are not around to approve requests and ensure continuity.

Form Workflow Plus is available for a 14-day free trial here.

Unlimited reviewers and conditional approvals

Automating their order taking workflow was a perfect decision for Richard. Working with the add-on allowed him to easily add approval steps, include or remove reviewers, and set up conditional approvals. These features allowed the add-on to meet their use cases.

Richard has even set up their staff leave requests and purchase order workflows via the add-on!

Web app for overseeing requests, managing billing, and adding users

Form Workflow Plus includes a web application accessible here. It provides account owners and admins a dashboard for managing workflows as well as requests. It’s also a one-stop solution for managing billing, updating credit card details for auto-renewal, and upgrading subscription.

Easily delegate roles and add/remove users via the included user management tool.

Accessible Support and extensive Help Center

For simple queries on setting up workflows to using advanced features, Richard found answers on the Form Workflow Plus Help Center. This was where he came across the idea of using conditional approvals for budget workflows.

For questions not covered by the Help Center, queries can be emailed to support@wizy.io. Better yet, a demo can be scheduled here:

Form Workflow Plus New Features

We love hearing from our customers. This latest release includes features requested by our beloved users. Our developers have been hard at work in improving both our add-on and web app. Today we’ve launched Version 110 of the Add-On and 2.3.7 for the Web App! Here are the exciting new features:

Create Calendar Event from Request Details

Workflow creators can now activate this feature on the Advanced tab of the Form Workflow Plus add-on. The final notification email would include a link so requesters can create a calendar event based from their submitted Google Form details. This comes in handy for leave request workflows, facility reservation approvals, and pretty much any validation process with a time element.

Draggable Button for Reordering Approval Steps

Gone are the days when workflow creators need to go through the manual and tedious process of reordering approval steps. Approval steps now include a draggable button for easy reordering of steps and their corresponding conditions.

Note: This feature is disabled when there are ongoing requests.

Specify Column Header for Final Notification

Prior to this update, the final email notification can only be CC’d to a static group of email address/es. By adding the ability to specify a column header, the Google Form can now be designed so requesters can specify the email address/es they wish CC’d on the final notification email.

UI Improvements

Web App

  • All notification emails now follow the language set by the workflow creator
  • Form names are properly displayed after sorting by name in the Requests->Forms view
  • Workflow Creators can now delete workflows they have created. This was previously allowed only for users with Admin and Owner roles

Add-On

  • “End process at this approval step” checkbox is now static. Text for this box used to toggle to “Continue process at this step” which proved confusing
  • Translate term “A requester” to selected language for email header
