We launched a new version of Form Workflow Plus with improvements centered on ease of setup and better settings organization. What are the exciting changes?

The add-on initially checks if a Google Form is linked to the Google Sheet

Since having a Google Form collecting responses to a sheet is essential for Form Workflow Plus to work, we’ve made this the first thing the add-on checks. If you don’t have a form yet, you can choose from our list of starter templates!

Get the Edit Form URL to link an existing form

  1. The easiest way to use an existing Google Form is to run Form Workflow Plus on the Google Sheet collecting form responses.
  2. If your Google Form is not linked to a sheet yet, make sure to get the Edit Form URL. Have this handy before running the add-on. Search for the Google Form in your Google Drive then double click it to open the “Edit Form” view in a new tab. Take note of the URL, similar to the following:

The general format of the URL should be: //docs.google.com/forms/d/”Your_Google_Form_ID”/edit

Basic Setup in 4 easy steps!

Now more than ever, we’ve placed the user’s experience at the front and center of our UI redesign. Taking inspiration from user feedback, we’ve put the essential settings to create a basic workflow in a single tab. The setup flow would proceed as follows:

  1. Select form response sheet – Let the add-on know which sheet collects the form responses.
  2. Select requester’s email column – Don’t leave your requesters hanging! Here you can specify the column containing the requester email address. That way, they would receive email notifications at each step of the approval process.
  3. Set approval steps and reviewers – This is the heart of the basic setup where you specify the approval steps and conditional approvals. Add as many as you need depending on your use case.
  4. Save and activate workflow – Once you’re all set, clicking this button will save all changes done and activate your workflow. Each form submission will trigger the add-on and forward the details to your specified reviewers.

Deactivate the workflow to update settings

Activating the workflow would lock the settings from any changes. If you need to update the basic or advanced setup, simply deactivate the workflow by toggling the activation button to the left then click on “Setup and Activate Workflow.”

Managing Catering Requests with Form Workflow Plus

An assortment of snacks and refreshments never fail to liven up formal functions and seminars. Queuing up to the buffet table presents opportunities to mingle and exchange ideas or simply talk about the weather. Behind all these are the trusty caterers and event organizers. They attend to individual guest preferences and make sure the event proceeds smoothly.

If you’re a food concessionaire or managing a catering business, it’s important to fulfill client orders. Catering requests need to be properly tracked and scheduled. Consider Richard, who’s the manager of an in-house caterer for a tech firm. Teams regularly hold training and seminars so it was at first a challenge to track which team would require their services and when.

Fortunately, Richard came across Form Workflow Plus on the G Suite Marketplace. This allowed him to have an efficient system of collecting orders and scheduling. It’s easy to lose requests when done via email or on a separate form. Here are the important features that helped Richard:

Seamless integration with G Suite apps

Form Workflow Plus works with native G Suite apps. Richard simply set up a Google Form then collected these responses on a Google Sheet. With Form Workflow Plus, set up took only a few minutes.

The add-on also had the flexibility to specify several reviewers. This proved useful for when some of the reviewers are not around to approve requests and ensure continuity.

Form Workflow Plus includes a web application accessible here. It provides account owners and admins a dashboard for managing workflows as well as requests. It’s also a one-stop solution for managing billing, updating credit card details for auto-renewal, and upgrading subscription.

Managing Community Use of School Facilities with Form Workflow Plus

Schools are hubs for community development. Besides providing educational services, school facilities and premises become venues for team sports, local competitions, or even fairs. This is why certain school districts allow communities to rent out school facilities. This provides an extra source of income for the school and promotes camaraderie among community groups.

Consider Sam. He is the Facilities Coordinator for a K-12 school. Their campus is also a popular venue for soccer practice, baseball tournaments, and the host for the annual organic farm fair. He also manages the schedule for pool use by the local swim team.

He started out by managing requests via email. However, given the number of facilities, queuing groups, and different schedules, he soon realized he needed a better tool. Sam came across Form Workflow Plus in the G Suite Marketplace and his job has since become a lot easier.

Sam moved away from receiving email requests and moved on to Google Forms. Responses are automatically collected on a sheet where he runs Form Workflow Plus. The add-on has a user-friendly interface for tracking request status. The best part is that Sam never lost sight of any request!

Automatic routing of requests based on facility type

Form Workflow Plus accommodates conditional approvals. Requests are routed to the appropriate department depending on the facility being rented out. This saved Sam a lot of manual and repetitive work as the add-on did this for him.
